Overview: Our client, based in South Cambridgeshire, is looking for a Senior Projects Administrator who will be responsible for smooth running of the administration of projects.
KEY DUTIES AND RESPONSIBILITIES – Other duties may be assigned.
Responsible for the day to day management of the procurement & projects administration team.
Ensuring team are following procedure and to escalate any issues to head of administration.
Working closely with the head of administration to ensure all process is being followed throughout the company and in accordance to NSI and ISO requirements.
Managing and allocating project admin tasks within the team.
Loading of jobs and ensuring all Project Managers and Account managers are following procedures and escalate any issues to Head of Administration.
Ensuring the team are loading jobs onto CASH correctly and all paperwork is to NSi standard / requirements.
Providing daily / weekly reports for Head of Administration on progress e.g how many jobs have been loaded per week, outstanding issues / paperwork.
Managing team members including sickness, holiday and yearly reviews / appraisals.
Hold daily ROAR meetings with team to ensure tasks are being covered and escalate any issues to Head of Administration. Loading of jobs / Policing from initial stage ensuring that all documents are accurate and all entered correctly on to CASH.
Ensuring that all costs are correctly entered into job costings before passing to projects administrator.
Leasing with PM and account managers to ensure they are providing all paperwork and correct costings prior to works commencing and to NSi and ISO standards.
Responsible for the day to day procurement administration function.
In order to ensure accuracy and consistency, you will be required to work with projects administration and finance team to ensure that parts are accurately ordered and followed through from purchase invoicing, purchase ordering and receipting.
To assist in ensuring the project runs smoothly and efficiently and to deadlines.
To follow standardized Company procedures relating to projects.
To ensure all administration duties are carried out in full accordance with the Company’s procedures Any other administration duties that may be required.
Ensure adherence to all Company Policies and Procedures.
Ordering NSi cert Applying for urns
Set up new systems on MasWeb/Securitas – add these to CASH system
Order webway unit
Obtain IP addresses and configure
Obtain App G and Keyholder forms from customers and update and upload these onto our systems
Closing Projects Handover to service if maintaining
Candidate Requirements Qualifications/ Experience/Knowledge:
PC literate, word, excel, capable of working on in house systems (CASH for Windows – training will be given where required)
Experience of working in the electronic fire and security industry would be of benefit, but is not essential.
Experience in a finance / procurement/ projects function previously desirable.
Previous experience of working in a busy office environment would be of benefit, working to strict deadlines, providing excellent customer service for both internal and external customers is critical. The candidate should be able to demonstrate good administration organizational skills along with the skills to adhere to procedures with the flexibility to accommodate unforeseen ad hoc last minute requests.
Full training will be given where required.
